Patient Care Coordinator

Department: Glendale Medical
Location: Glendale, CA

JOB SUMMARY

Exchanges pertinent non-routine information, answers questions and offers guidance, either face to face, through written correspondence or via the telephone with individuals on a continual basis.  Greets, instructs, directs and schedules patients. 


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Greet and Sign In patients
  • Check in patients, verify and update necessary information in the medical record through EMR system
  • Collect co-pays, deductibles and payments as required
  • Obtain and verify patientís current insurance information
  • Prepare new charts for future new patients
  • Register patient data through EMR system
  • Maintain provider schedule and follow office scheduling polices
  • Answer and screen telephone call, takes messages and provides information
  • File charts, coordinate lab work, physicians report, etc
  • Sort and deliver mail to Office Manager
  • Maintain work area and lobby in neat and orderly manner
  • Attend meetings as required
  • Complete authorization and maintain logs
  • Prepare daily batches for business office
  • Prepare requested daily statistical information
  • Notify the Office Manager of possible problems
  • Know rules and procedures for release of information
  • Acquire appropriate signatures
  • Ascertain that Physician or manager is aware of request for information
  • Submit appropriate information per procedure
  • Report equipment or supplies needed to Office Manager
  • Reports malfunctioning equipment to Office Manager
  • Obtains charge information, coding and data entry 
  • Completes billing and collection processes and prepares for distribution to appropriate sources
  • Stays in compliance with all HIPAA regulations
  • Performs other assigned duties under the direction of the Office Manager or Physician

EDUCATION AND EXPERIENCE 
  • High School Diploma or GED
  • Two years experience in a medical office setting preferred
  • Medical Assistant Certification preferred
  • Certification through AAMA preferred
  • Experience in operating a computer and word processing

  • Ability and willingness to work cooperatively with others
  • Ability to be highly organized
  • Ability to work independently
  • Ability to speak effectively with patients, as well as employees
  • Ability to create and prepare reports
  • Must have analytical and problem solving abilities  
  • Ability to apply common sense understanding to carry out instructions functions furnished in written, oral, or diagram form
  • Ability to read, write and communicate effectively  
  • Ability to present information in an easily understandable manner
  • Ability to organize and prioritize work with minimum supervision  
  • Proficiency with computer applications such as Microsoft Excel, Power Point and Word
  • Flexible and able to multi-task; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems


PHYSICAL DEMANDS

Work is performed in the reception area involving frequent contact with people.  Interaction with others is constant and interruptive.  Requires lengthy periods of sitting; also bending, stretching, lifting and stooping.  Required manual dexterity, vision correctable to 20/20 and hearing must be in the range of normal for telephone contact. Ability to work in a fast paced environment that may produce stressful conditions at times.
